Retiring IT equipment? Start with the handoff plan.

IT asset disposition (ITAD) brings together asset records, data handling, resale decisions and physical removal. Define these workstreams before equipment leaves the site.

1. Build an inventory your team can act on

List the equipment type, manufacturer, model, quantity, location and reported condition. Note storage-bearing devices and operational dependencies. Separate verified details from estimates, and identify who can authorize the disposition.

2. Define data handling before remarketing

Identify the data owner and the requirements for sanitization, destruction or retention. Agree who performs that work, which evidence is required, how assets are tracked and when equipment can be released. Confirm the selected provider’s relevant capabilities and credentials for the actual scope.

3. Compare resale and downstream options

Ask for a scope that separates equipment value from inspection, processing, removal and transport costs. Confirm whether any offer covers the whole lot or selected assets, how adjustments are handled, and what happens to items that cannot be remarketed.

4. Plan the physical removal

Document site access, pickup windows, packaging, loading responsibilities and any work that requires specialist contractors. Reconcile the collected equipment with the agreed asset list and retain the handoff records.

5. Close the loop

Collect the records agreed in the project scope, reconcile commercial adjustments and track any outstanding items. A completed pickup is one milestone; the project closes when the required evidence and commercial obligations are resolved.
